About You
You are a seasoned agency project management professional - someone who has lived and breathed agency timelines, creative workflows, and cross-functional team dynamics. You don't wait to be told what's broken. You spot the problem, build the plan, and communicate it clearly before anyone else has to ask.
- You have deep agency experience and understand how creative, media, and account teams actually work — and where things typically fall apart.
- You are proactive by nature. You anticipate issues, build timelines before they're requested, and flag risks early.
- You are a confident communicator who can manage up, across, and laterally — including holding senior team members accountable without hesitation.
- You are detail-obsessed. Nothing falls through the cracks on your watch.
- You thrive in a fast-paced agency environment where priorities shift, and momentum is everything.
- You are a peer model for other team members - leading by example through creative problem-solving.
- You are a trusted connective thread across creative, media, account, and strategy teams.
Specifically, You:
- Have 8–12 years of experience in project management within a marketing, creative, or digital agency. Agency experience is required.
- Have hands-on experience managing creative production workflows, media deliverables, and integrated campaign timelines.
- Are fluent in an agency PM tool and can champion adoption across a team.
- Are highly skilled at managing multiple projects and stakeholders simultaneously without losing quality or detail.
- Have experience coordinating external resources, including sourcing, onboarding, and managing deliverables.
- Are a proactive communicator who documents decisions, flags issues early, and keeps all stakeholders informed.
- Have experience working alongside senior creatives, media leads, and department heads.
About the Role
As Dotted Line's Senior Project Manager & Resource Lead, you will serve as the agency's central delivery engine - ensuring client projects move efficiently from kickoff to completion, creative and media teams stay aligned and accountable, and nothing slips through the cracks.
This is a critical project management role. Your focus is delivery: building and holding timelines and schedules, managing workloads, keeping people accountable, and ensuring the agency produces excellent work on time and on budget.
In This Role, You Will:
Project Delivery
- Own end-to-end project management for assigned client accounts and workstreams from kickoff through final delivery.
- Build and maintain detailed project schedules proactively, not reactively — before the team asks for them.
- Maintain real-time visibility into project status, risks, and scope changes, and communicate updates before issues escalate.
- Partner closely with account teams to ensure client-facing deadlines are met and expectations are managed.
- Manage scope documentation, change orders, and project health reporting across all assigned projects.
Creative & Media Project Management
- Serve as the dedicated PM for creative production — managing the day-to-day workflow of the creative team's client deliverables (design, content, video, etc.).
- Own project management for media workstreams — partnering directly with the Head of Media to track deliverables, maintain schedules, and hold the team to established workflows.
- Provide direct, consistent project accountability for department heads who are strong in their discipline but need a skilled PM in their corner to keep things moving.
Resource Coordination
- Own external resource coordination by managing the sourcing, onboarding, briefing, and deliverable tracking for freelancers and contractors.
- Advise on internal resource allocation in partnership with other PM team members and department leads.
- Lead weekly resourcing conversations to flag capacity constraints and anticipate upcoming needs.
- Help balance team workloads to prevent burnout and maintain sustainable delivery capacity.
Project Documentation
- Maintain accurate, up-to-date project tracking in PM system - ensuring all assigned projects reflect current status, timelines, and task ownership.
- Champion time tracking on your projects: ensure consistent usage, flag compliance issues, and use time data to monitor project health.
- Maintain clean project documentation, including briefs, timelines, and status reports.
What Success Looks Like
In the first 90 days:
- You have audited all active projects and established clear timelines and status tracking in Productive for every assigned workstream.
- You have proactively identified at least one delivery risk or workflow gap — and brought a solution to the table before being asked.
- The creative and media teams feel a noticeable difference: things are more organized, communication is clearer, and fewer things are falling through the cracks.
- You have built a trusting working relationship with senior leaders and are driving consistent accountability across the team.
- External freelancers are managed with clear briefs, deadlines, and feedback loops.
Ongoing:
- 95% of your projects are delivered on time, within scope, and within ±5% of budget.
- Issues are surfaced within 24 hours of identification, with a proposed resolution in hand.
- The team describes you as proactive, reliable, and someone who makes their jobs easier.
- You never have to be asked for a status update — you provide them.
